Job Summary

As an integral part of the Security Department, this position partners  with the Office Administrator in the management of all the day-to-day security operations, including but not limited to, daily security functions, response to safety or emergency situations, security and safety related trainings and drills, and the implementation and administration of all emergency response and business continuity plans.  Responsible for assisting in the management of all documentation related to security processes and policies.   Required to provide a high level of customer service to Firm employees, provide accurate and detailed reports regarding often sensitive security related incidents and exhibit the ability to quickly lead situations of high urgency at a moment's notice. Primary liaison with building management regarding security.

Qualifications

ESSENTIAL FUNCTIONS:

  • Manages the maintenance of key employee records, i.e. CPR/AED Certification List, Special Needs Employee List, Floor Warden List, Location Based Employee List.
  • Assists in the administration of annual fire drills and building power down.
  • Manages CCure card access system, including all new hire / departure requests, lost or stolen card requests, monthly audits and regular maintenance.
  • Manages maintenance and repairs of all security related systems, including CCTV, pre-action system, security badge systems and fire life safety systems at local office level; ensures proper compliance with all building and city ordinance.
  • Directs the planning and implementation of Crisis Management, Disaster Recovery and Business Continuity policies and procedures at the local level through strong relationships with the building security, Global Security and other department heads.
  • Manages records of all locks and key distributions and process requests for new keys/locks, as needed.
  • Oversee administrative security needs of the local office including, access requests, badge and key audits, emergency and first aid supplies, security related trainings and nightly rounds.
  • Manages relationships with service vendors and building security in addressing equipment maintenance issues as well as security related incidents and situations.
  • Responds to and works with internal team, building security and local police and fire departments during medical emergencies, potential civil disturbances and crisis situations. Must exhibit ability to lead these situations with clarity and the proper level of urgency.
  • Completes initial investigations regarding incidents, involving guests or employees, including preparing loss and incident reports with data to support formal investigations or other processes.
  • Keeps current with local security issues and latest practices.  Advises and collaborates with Office Administrator on best practices and responses to emerging security events, trends, and specific situations.
  • Administers and manages special security related projects, such as building projects, equipment upgrades and facilities upgrades, and develops the related capital expenditure requests for approval.
  • Create, monitor and manage security department's local budget and expenses.
  • Partners with the Office Administrator to create safety and security related training curriculum and assists in the organization and execution of the classes, i.e. CPR/AED Training, Fire/Life/Safety Training, Floor Warden Training.
  • Partners with the Office Administrator in developing all key security and safety related manuals and assists in the management of said manuals, i.e. Emergency Response Guide, Emergency Safety Team Response Guide, Business Continuity Plan, Receptionist Security Guidelines and Office Security Survey.
  • Patrols and conducts inspections of the office space: identifies and corrects any security, safety and fire hazards.
  • Serve to escort departments dealing with cash, for the safe transport of Firm assets, and/or escort employees or guests when requested.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operation, policies and procedures.
  • Performs other related duties, as assigned.

ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES AND OTHER JOB-RELATED COMPETENCIES:

  • While performing duties, employee will frequently walk, stand, reach with both hands and arms, climb and descend stairs and lift heavy objects.  Employee must be able to perform these duties in the event of a security or emergency situation and be able to take a leadership role in assisting others to perform these functions

  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint) and Send Word Now, with the ability to learn new software and operating systems

Experience/Education

  • High School Diploma with a minimum of twelve (12) years of security, law enforcement or active military experience, of which at least two (2) years of experience are in a supervisory role, or
  • Bachelor's Degree or higher from an accredited institution of higher education with a minimum of ten (10) years of security, law enforcement or active military experience, of which at least two (2) years of experience are in a supervisory role, or
  • High School Diploma and Certified Protection Professional (CPP) certification, with a minimum of nine (9) years of security, law enforcement or active military experience, of which at least three(3) years of experience are in a responsible charge of a security function, or
  • Bachelor's Degree or higher from an accredited institution of higher education and Certified Protection Professional (CPP) certification, with a minimum of seven (7) years of security, law enforcement or active military experience, of which at least three (3) years are in a responsible charge of a security function
